- Manage the payroll function ensuring efficient systems, processes, and controls.
- Oversee the external audit, review and analyse results, and recommend for approval the audited financial statements.
- Prepare the financial section of the annual report.
- Oversee the cash management function, including banking relationships.
- Ensure the company is compliant with all internal policies and relevant regulations and ensure filings are completed in a timely manner.
- Oversee the groups pension scheme.
- Oversee monthly payroll, pensions, and VAT.
- Supervise Accounting Office staff.
- Provide appropriate career building and professional development activities to ensure a climate of growth for all employee groups.
- Consider future opportunities for staff.
- Ensure dept training folders / documentation is kept up to date by the team for each financial job role.
- Responsible for maintaining and developing relationships with external professional Advisors, Bankers, Auditors, Insurers, Property Management, Pension, Security, Energy, Grant, Tax and Legal Advisors
- Develop cash flow forecasting and maintain a long-term cash forecast.
- Responsible for the management of the insurance and risk management program.
- Oversee the annual insurance renewal process and ensure appropriate coverage is reviewed, updated as necessary to reflect the changing needs of the business in conjunction with the Commercial Director.
- Review finance of preferred vendors.
- Focus on improving working capital, particularly the stock systems, investment appraisal, and strengthening internal controls.
- Improved credit control, debtor, and retention collection.
- Ensure the team delivers the highest standard of departmental and cross-departmental teamwork.
- Develop finance and accounting team goals that are fully aligned with the company goals.
- Lead and coach the team to recruit and retain high-calibre staff.
- Provide coaching, guidance, and support; set professional development plans to assist employees in reaching their full potential through the performance management process.
- Fortnightly meetings with the Managing Director to ensure monthly and quarterly sales forecasts are achieved.
- Present Rolling profit and cash-flow forecasts, analysis vs. budgets/prior periods.
- Present monthly detailed margin reporting enabling early identification of variances and critical issues.
- Present monthly and year-to-date financials with accompanying analysis of results.
- Preparation of the monthly management accounts, quarterly board pack, and ad hoc reports for the shareholders and Directors.
- Produce monthly labour utilisation reports enabling accurate information on gross margins and employment costs.
- Present customer and product profitability analysis in a consistent and clear manner to enable the business to have full clarity over revenues and profitability across different revenue streams.
- Review and develop regular reporting and analysis, including key metrics reports, and conduct hoc financial analysis as required.
- Ensure financial management reporting tools and processes are in place to support the ongoing and future needs of the business.
- Analyse and review sales budgets and activities, supporting the strategic business plan.
- Key responsibility for liaising with external IT and cyber security providers.
- Ensure the smooth day-to-day running of gas, electric, phones, and rent.
- Manage utilities to ensure cost-effective and efficient operations within the current market.
- Ensure company insurance is always current and valid.
- Manage and maintain documents for all lease contracts/buildings
- Keep records of key holders and ensure all "site" keys are kept securely.
- Ensure alarm details are current and available to management.
- Negotiating the best rates for rental, rates, utility payments with supply chain partners.
- Manage contract with onsite Security providers and review the service provided annually.
- Look after the plastic packaging tax.
- Look after the asset register.
- Write reports in Sage.
- Must have used Sage/Sage 50.
