Job Purpose:The role of Head of Facilities is a senior operational leadership role that works across the whole charity, acting as a central knowledge hub and the coordinator of all facilities, compliance and health and safety activities. Including:
  • Strategic oversight of facilities, including risk management & maintenance planning
  • Ensuring proper coordination of maintenance activities
  • Project management / support of facilities projects and new developments
  • Ensuring health and safety compliance across the charity
  • Strategic partnerships with key management stakeholders to develop and continuously improve the health and safety culture of the charity
Main Duties & Responsibilities:Facilities & Estates Management:
  • Ensure all facilities, both inside and out, are kept to expected high standards.
  • Ensure proper co-ordination of the Facilities team across all YMCA FG branches, including the deployment of internal resources and contractor management.
  • Develop and deploy processes that enhance facilities & estates management and compliance across the charity, including conducting regular audits and verification.
  • Ensure coordination of activities and required works, including taking ownership of risk assessment findings and known maintenance gaps.
  • Identify costs and oversee delivery of all maintenance projects and requirements across the charity. Take the lead on identifying upcoming maintenance needs and ensure that these are correctly factored into the budgeting and planning processes.
  • Ensure suitable project management support is provided to any development projects that the charity commissions.
  • Compile regular reports for Directors and the Board of Trustees in relation to the risk profile and associated remedial plans to address facilities risks.
Health & Safety:
  • Act as the operational point of contact for all health and safety regulatory matters, escalating reportable concerns and incidents to the relevant Director and taking direction on the implementation of any recommendations.
  • Lead on ensuring compliance with all legal and regulatory obligations, including fire risk assessments, other risk assessments and health & safety compliance reporting.
  • Take the lead on assessing health and safety culture and compliance across the charity and take on a lead strategic partnership role in working with managers to meet expectations and drive positive changes to organisational culture.
  • Take the lead on assessing insurance needs and partnering with insurance partners to ensure the right level of cover is in place for the charity. Take ownership of all insurance matters arising.
  • Compile regular reports for Directors and the Board of Trustees in relation to Health and Safety matters across the charity and take the role in leading the Health and Safety Compliance Committee to keep Trustees and Directors appraised of Health and Safety performance.
Person Specification & Key CompetenciesQualifications and Experience:
  • Three to five years existing experience in a facilities and/or health and safety leadership role.
  • Relevant qualifications in Health & Safety, Facilities and/or compliance (such as NEBOSH or equivalent).
  • Experience in delivering major maintenance and buildings projects (including project management experience and/or qualifications).
  • Excellent demonstrable knowledge of health & safety and compliance legislation and best practice, with experience of deploying practices to meet obligations.
  • Good level of IT proficiency.
  • Strong communicator who takes a collaborative approach.
  • Ability to effectively lead a medium size team of both managers and individual contributors in complex environments.
  • An understanding of safeguarding principles and procedures.
  • A dedication to inclusion.
