- To assist the Facilities Manager with administrative support and the day to day running of the facilities services.
- Undertake any other duties, appropriate for the post, as directed by the Facilities Manager.
- To assist and manage the facilities in the absence of the Facilities Manager.
- In the absence of the Facilities Manager be the first port of call for all facilities related issues and to liaise with the relevant contractors/suppliers to ensure that any works/services are carried out accordingly.
- To monitor your working environment and report any issues to Facilities Manager, logging any jobs the service desk, monitoring the progress and keeping tenants updated of works through to resolution.
- Take a proactive role towards H&S reporting any issues to the Facilities Manager.
- Ensure that contractors have provided RAMS and the relevant permits before commencement of any works, ensuring they have the correct access to undertake the required works.
- To take overall responsibility for the front of house, delivering a first-class reception service and visitor experience to all visitors and staff at The Spine.
- Ensure that an exceptional level of service is always maintained to the reception and visitor areas. Co-ordinate and liaise with the building team to maintain these areas.
- Drive service excellence within team members, leading by example and developing them to spot opportunities to go the extra mile.
- Take a proactive approach to visitor management ensuring each visitor is greeted and assisted in line with the welcome host standards.
- Establish and maintain an effective working relationship with all staff and contractors.
- Maintain the reception area to ensure an impressive and professional appearance and ensure the desk is maintained at all times
- To assist the facilities manager in preparing and hosting any events held within the building for the occupiers.
- Ensure the security of the building is always maintained including management of the access control system.
- 5 GCSE’s or equivalent.
- Experience of providing a reception service, quality customer service experience is essential. The post holder should also have good communication skills, administration and IT skills, an enthusiasm for working with people, and a flexible approach to work
- 1 – 3 years previous experience in a similar environment.
- Experience in assisting Facilities Management in an administrative and coordinator capacity.
- 5 GCSE’s or equivalent.
- Good problem solving skills.

- A good level of written and verbal skills.
- Excellent IT and communication skills.
