Welbeck Surgery is now looking to recruit an experienced, enthusiastic person to join our team as a Receptionist/Administrator. The available hours are full time (37.5), or this can be split into two part-time jobs. Flexibility with hours/days is possible.This is an extremely busy role which requires hard work, the ability to multi task and a good sense of humour. You will need to be able to deal with multiple different demands on your time, be able to prioritise to ensure all tasks are completed in a timely manner, have excellent customer service skills and a smart, professional appearance. Previous relevant experience is desirable but full training will be given.If we receive a high number of applications for this position, we reserve the right to close the vacancy earlier than stated.Main duties of the job
  • Manage the reception desk ensuring clinics run smoothly and efficiently.
  • Excellent customer service skills, both over the phone and face to face.
  • The ability to prioritise daily work to ensure all tasks are completed in a timely fashion.
  • Positive attitude.
  • Receiving patients and visitors courteously and efficiently.
  • Undertaking a variety of admin duties.
  • Workflow support with appropriate coding.
  • Attending team training events as part of ongoing development.

  • Manage the reception desk ensuring surgeries run smoothly and efficiently
  • Answering the telephone, taking messages, and passing them on appropriately
  • Actioning any queries for repeat prescriptions in accordance with practice guidelines
  • To provide point of contact for patients and to act as a focal point of communication between, patients, doctors, and other members of the Primary Health Care Teams
  • Completing all reception/administration task as necessary
  • Opening and closing the practice as and when necessary ensuring the reception, office and consulting rooms are prepared in readiness for the next session
  • Photocopying, scanning, and shredding as requested
  • Ensuring confidentiality is maintained at all times
  • Having a thorough knowledge of all practice procedures and policies
  • Working in accordance with written protocols
  • Completing any tasks allocated by managers or GPs.
  • Carry out system searches as requested
  • Maintain waiting area and notice boards
  • Attending team training events as part of ongoing development and training
  • Assisting in the filing of medical records/results
  • Attending protected learning time sessions when required
  • Registering patients as per the practices policy and procedures
  • Taking a lead role in a specialised area as part of ongoing personal developed as allocated by the practice manager
  • Offer flexible cover for other staff sickness and annual leave
