Flexible working will be part of the discussion at offer stage.PURPOSE OF THE ROLEJoin the BMA Hub as a Team Assistant, applying specialist knowledge and skills to common tasks and initiatives to provide support across professional services and corporate functions accountable to the BBC Chief Operating Officer.Working in close partnership with all members of the BMA Hub Team and Business Advisors and Business Partners working in business aligned areas.Team Assistants play a key role in the BMA Hub which is a central team designed to be quick to respond; visible and easy to engage with; to provide a high-quality service and with a team charter that encourages variety of experience and fulfilling career development.The role provides comprehensive administrative assistance and will be responsible for a broad range of administrative tasks including purchasing, freelancer bookings, setting up new joiners and coordination of projects and activities.WHY JOIN THE TEAMThe BMA team is the heart of the Chief Operating Officers Group (COOG), with around 70 people working together to make things happen across Business Aligned teams and the BMA Hub.Team Culture: Be part of a close-knit team that values collaboration and innovation.Growth: Gain valuable experience and skills that will set you up for success.Impact: Play a key role in helping the business run smoothly and efficiently.Continuous Improvement: We are always looking for more efficient ways of doing things, with an emphasis on continuous improvement across the team. We embrace new technologies such as AI to support this.YOUR KEY RESPONSIBILITIES AND IMPACT:The role of Team Assistant will encompass some or all of the below 'Key Responsibilities and Accountabilities'.
  • Provide comprehensive administrative and operational assistance via a central support tool
  • Assess the range and volume of work to be undertaken for the day or days ahead and plan to ensure work is completed to time and to an appropriate standard.
  • Maintain, efficiently operate and improve a range of office processes and administrative systems to ensure the smooth running of the business.
  • Support Governance and Compliance activities such as Financial Approval Committees; Risk management and Managed conferences.
  • Support one-off initiatives to parts of the COO Group that require additional support.
  • Work independently and as part of a wider BMA team.
YOUR SKILLS AND EXPERIENCEESSENTIAL CRITERIA:
  • A proven track record of providing administration assistance in at least one organisation
  • Excellent computer literacy and the ability to learn new IT skills quickly to adapt to different systems
  • Excellent planning skills and the ability to work to deadlines and strong attention to detail
  • The ability to act using initiative but knowing when to refer up and a 'can do' attitude and excellent customer service ethos
  • Good communication skills, with the ability to build and maintain strong working relationships with stakeholders and the BMA Team
DESIRABLE BUT NOT REQUIRED
  • Experience of working in a Professional Services setting Relevant business management and/or project management qualification.
  • Experience of BBC purchasing systems
