- Lead and Inspire: Supervise and support a diverse team of Facilities and Workspace Coordinators, providing guidance, training, and performance feedback to enhance team productivity and morale.
- Manage Operations: Oversee daily operations, including office management, security protocols, mail logistics, and floor coordination, ensuring a seamless and efficient work environment.
- Enhance Standards: Proactively address and resolve facilities issues (e.g., maintenance, cleaning, and engineering) to uphold high office standards that contribute to positive employee productivity and morale.
- Locker and Supply Management: Oversee personal and fitness studio locker management, ensuring proper allocations and maintenance, while also managing office supplies to maintain adequate stock levels within budget.
- Coordinate Logistics: Organise logistics for office events and meetings, including setup and takedown, and ensure meeting rooms are well-prepared and equipped.
- Safety First: Take on First Aid and Fire Marshal responsibilities, completing necessary training and ensuring compliance with health and safety regulations to maintain a safe workplace.
- Relationship Building: Foster strong relationships with external contractors, courier services, and postal services to ensure smooth operations and address any issues promptly.
- Reporting and Analysis: Produce monthly reports for the Hard Services Facilities Manager, detailing key responsibilities and operational metrics.
- Experience: Extensive experience in workplace support, security management, logistics, or a facilities multifunctional role, with demonstrable leadership experience.
- Qualifications: Membership or Associate Membership of IWFM and a relevant health and safety qualification (desirable or working towards IOSH/NEEBOSH).
- Technical Skills: Strong understanding of maintenance procedures, building systems, and compliance regulations; experience using CAFM and AutoCAD systems.
- Interpersonal Skills: Excellent written and verbal communication skills, with the ability to build rapport and work collaboratively with diverse teams and stakeholders.
- Attention to Detail: High attention to detail while operating effectively in dynamic, fast-paced work environments.
- Organizational Skills: Strong organizational skills with the capacity to prioritize tasks strategically and consistently meet critical deadlines.
- Proactive Problem-Solving: A proactive approach to addressing workplace challenges, demonstrating adaptability and resourcefulness.
- Handyman Skills: Basic handyman skills to assist with routine maintenance and minor repairs
