- Keep the studio running smoothly - managing supplies, equipment, budgets, and vendor relationships.
- Schedule meetings, manage calendars, and coordinate travel for the team.
- Maintain office policies and make sure everyone's on the same page for how we work.
- Be the friendly, professional first point of contact for visitors, clients, and suppliers.
- Act as the 24-hour emergency contact for facilities or security issues.
- Look for ways to improve processes so the studio works smarter, not harder.
- Oversee all building systems - making sure everything's functional, safe, and looking its best.
- Coordinate with cleaning services to maintain a spotless, welcoming studio.
- Manage contractors for repairs, upgrades, and emergencies.
- Plan and deliver maintenance schedules, space planning, and refurbishments.
- Drive sustainability initiatives to reduce waste and energy use.
- Be the go-to person for all H&S matters, from risk assessments to policy updates.
- Organise regular safety training, fire drills, and first aid provision.
- Keep compliance documents up-to-date and audit-ready.
- Lead and mentor the admin team, ensuring tasks are delegated effectively and deadlines are met.
- Hold regular catch-ups, training sessions, and performance reviews.
- Foster a positive, can-do culture within the team.
- Assist with recruitment, from posting jobs to onboarding new hires.
- Maintain accurate, confidential employee records.
- Support day-to-day HR queries and step in for the HR Manager when needed.
- Experience in office or studio coordination/management, ideally in a creative environment.
- Solid facilities management knowledge (both hard and soft services).
- Health & Safety expertise, including policy management and training.
- Team leadership experience with the ability to build strong relationships.
- Bonus points for HR experience or ISO auditing knowledge.
- Flexibility to be the on-call contact in rare out-of-hours situations.
- A people person who gets things done.
- Sharp on detail but never loses sight of the bigger picture.
- Unflappable when things get busy - and they will.
