  • Assist in handling operational enquiries.
  • Scheduling, attending and servicing of meetings, which include minute taking and distribution of minutes and agendas.
  • Assist with the completion of maintaining monitoring documents for commissioners.
  • Assist with the preparation of operational reports as required.
  • Assist in the liaison with key partners / funders as directed.
  • Provide first-line technical support to the wider department, escalating issues where necessary.
  • Support the implementation and training around digital systems and tools.
  • Lead with administration of the support management system i.e. Outcome Star ensuring prompt allocation and support for those requiring licences.
  • Assist in data management, KPI reporting, and digital transformation projects.
  • Provide general day-to-day administration and maintaining of filing systems.
  • Assist the business to focus on positive and prompt resolution, wider learning, and quality improvement.
  • Provide cover for colleagues and undertake other duties as required.
Safeguarding
  • Support with administration of the incident management system i.e. MyConcern, ensuring accurate and timely monitoring of safeguarding concerns and outcomes.
  • Lead, design and deliver training and briefings around MyConcern for colleagues at all levels.
  • Use interpersonal and communication skills in dealing with what are frequently complex and sensitive situations.
  • Support safeguarding leads with data reporting, trend analysis, and compliance monitoring.
  • Gather useful information and resources on Safeguarding topics i.e. Domestic Abuse.
  • Maintain accurate records of version control for the efficient administration of the process and for audit purposes.
  • Assist St Basils Safeguarding Lead/s and Head of Quality Standards & Registered Services Manager around their safeguarding duties and responsibilities e.g. Safeguarding Log, Ofsted Notifications, Ofsted Central Governance spreadsheet.
  • Lead on the Safeguarding communication strategy for staff & young people.
  • Monitoring referrals from the relevant inboxes and data inputting including MARAC, ensuring there is appropriate representation at meetings.
  • Support the process of investigations into Incidents & Safeguarding in line with Policy, including:
  • Monitoring the receipt of all new Incidents & Safeguarding Concerns
  • Ensuring referrals are submitted in an appropriate and timely manner
  • Identifying cases are being managed using the most appropriate method of dealing with the Incident, in consultation with colleagues
  • Monitoring the progress of how Incidents & Safeguarding is being addressed, intervening or escalating where insufficient or improper progress is taking place.
  • Supporting or taking the lead on specific cases (subject to complexity)
QUALIFICATION:Essential:
  • Maths & English GCSE Grade C or Above.
  • Business Administration Level 3 or willingness to work towards.
Desirable:
  • Educated to degree level in a related subject area or equivalent through work experience.
ROLE EXPERIENCEEssential:
  • Experience of working within and operating under a range of safeguarding policies, procedures and working frameworks.
  • Experience using spreadsheets and Microsoft 365 Apps.
  • Experience of case management systems.
  • Experience of successfully managing own workload in an environment where deadlines and priorities frequently change and are often conflicting.
  • Experience of managing sensitive and confidential client data.
  • Experience of managing a varied workload, responding flexibly, and with strong organisational and time management skills.
  • Accurate minute-taking and attention to detail
Desirable:
  • Operating in a supported housing environment.
  • Experience, recognising and handling in an appropriate manner, confidential or sensitive information.
  • Experience of safeguarding principles and best practice.
KNOWLEDGEEssential
  • Knowledge of how safeguarding relates to the supported housing sector.
  • Use of Microsoft Apps / Power BI.
  • Knowledge of and commitment to EDI / Anti-Discriminatory Practice
  • Ability to prepare and present different types of information (numeric / written / performance data etc).
  • Administering and complying with detailed procedures.
Desirable:
  • Awareness of policy review processes in relation to safeguarding legislation, regulation, good practice and the delivery of services.
