We are looking for an enthusiastic individual to join our existing Administrative Team providing high levels of patient care to our registered list of approx 8000 patients.Main duties of the jobYou will be working as an integral part of our busy adminstrative team providing support to our team of clinicians and registered patients. This is a varied and challenging role encompassing a wide range of responsibilities.About usWe are a dedicated and enthusiastic team who work hard to ensure we provide excellent services to our patients in a friendly working environment.DetailsDate posted21 August 2025Pay schemeOtherSalaryDepending on experienceContractPermanentWorking patternPart-timeReference numberA1680-25-0000Job locations45 High StreetSawtryHuntingdonCambridgeshirePE28 5SUJob descriptionJob responsibilitiesRESPONSIBLE TO:The Administrative Assistant will receive instructions from, and be responsible to, the Practice Manager / Assistant Practice Manager.HOURS OF WORK: 3 days per week (22.5 28.5 hours) Tuesday / Wednesday / FridayRATES OF PAY: As per contractSUMMARY OF RESPONSIBILITIESThe post-holder will potentially be involved in the following:Incoming Mail:Receive/scan/assign as appropriate all mail, internal and external.Input data based on patient information received from external sources.Action tasks from clinicians arising from mail, etc.Pathology Results:Receive and actions tasks related to test results.Communicate with patients as required regarding results.Enter results on computer not received via links.Patient Registration:Enter details of newly registered patients on computer.Update and amend relevant patient records as required.Process patient deductions as required.Update and amend relevant patient records as required.Notify necessary parties of patient deaths.Process incoming notes in preparation for medical summaries.Miscellaneous:Liaise with hospitals and outside agencies as required regarding patient related issues.Maintain log of all requests for medical reports, insurances and other information.Arrange copy notes authorised for dispatch to solicitors, etc.Send/request paper notes to third party storage facility.Recall of cervical screening non-respondersProvide cover of essential secretarial tasks (eg. two week wait referrals) when the secretary is not available.Coordination of patient clinics eg. minor surgery / post-natal, etcReception Cover (occasional cover as and when required):Welcome patients at the main reception desk, assist with their enquiries or direct accordingly.Answer telephones assist with enquiry or direct calls appropriately, record and pass on messages to members of the Primary Health Care Team in accordance with Practice Protocol.Book appointments as appropriate via contact over the telephone or in person.Deal with queries according to guidelines laid down by Practice Policy.General administration duties as required, in order to aid the achievement of targets.PostscriptThis is a summary of key tasks, and is not intended as a comprehensive description of duties of the post.
