The RoleWe are looking for a proactive and thorough Operations Manager to join our small, committed global team, you will play a pivotal role in ensuring the smooth running of the organisation.You will support the part-time Director of Finance and Operations to run internal processes across all of our activities from IT licences to travel organisation.You will manage the backend of a mission-driven organisation, enabling our team to focus on impact. There will be opportunities to get involved in areas such as fundraising and communications.This is an ideal opportunity for someone who is an organised problem solver, tenacious and able to prioritise across multiple workstreams with a supportive manager and with an interest in working in not-for-profit and/or learning about climate / sustainability campaigns leveraging sport and who can confidently work independently.Here's a taste of what you'll do:Operational SupportAdministrate Slack, Google Drive, emails and software subscriptions for the business, ensuring all programs and tools are used properly and kept orderly. Help train the team as needed.Work closely with Count Us In's (outsourced) IT team, making sure requests are solved efficiently and effectively.Manage website updates via external providers.Support documentation management eg first draft template contracts, onboarding/offboarding, and knowledge management.Coordinate team-wide meetings and processes as needed.Look after inboxes for company addresses and support the team in responding.Own access and function of software across the organisation as required e.g. photoshop.Support Campaign and Project Directors to maintain consistent and smooth ways of working across the organisation.Be involved in operational process changes and embedding good practice with positive energy.Maintain and update key organisational materials (intro decks, one-pagers, talking points, case studies, team bios), with input from the relevant teamAssist with identifying and secure profiling opportunities with funders and partners for colleagues, including events and awards eg for London Climate Action Week.Finance & AdminAssist with invoice tracking and expenses process.Support on grant reporting preparation and project management.Help prepare and coordinate compiling documentation for funders and proposals.Implement straightforward content updates to the website and coordinate with external support for complex updates.Own and manage the software budget for the organisation.HR & People SupportSupport with coordinating recruitment logistics and on and offboarding lead.Support team well-being and inclusion practices by being a hands-on communicator.Governance & ComplianceHelp ensure internal processes are aligned with data protection and security standardsAssist with document preparation for Board meetings and other governance processesYour skillsWhat We're Looking ForProven experience in an administrative, operational, or project support role.Excellent organisational skills and attention to detail.Ability to work independently and manage multiple priorities from an international team in a mainly remote settingExperience delivering a responsive support role.Familiarity with software administrationComfortable with spreadsheets, document review (eg slides and proposals), basic finance systems eg card portals, and cloud-based collaboration tools.Experience of learning on the job to fulfil a task.Able to, or able to learn, to coordinate and compile information from existing material to a draft level and interested in learning to do so.Experience in process ownership, making sure things are done with logic and clarity.A proactive problem solver, happy in a start-up mentality of rapid evolution and learning.Excellent written and verbal communication skillsComfortable contributor to the organisation and all-round personable keen bean who brings something special to the team.
