I am recruiting on behalf of a fantastic family-run SME business, based just on the outskirts of Newark; they are looking for an Admin and Accounts Assistant to join their team as the current person moves on to progress their career after 7 years with the company.This is a temporary position to start, with the intention to go permanent, offering long-term stability and room for growth. You’ll be based in an office with two office dogs, working in an agricultural environment, and enjoying the flexibility of working school hours.Key Responsibilities:
- Bookkeeping & Accounts:
- Assist with day-to-day bookkeeping using Sage 50.
- Maintain accurate records of financial transactions.
- Raise and send invoices to clients.
- Handle accounts receivable, including sending statements and managing queries.
- Ensure all material deliveries and collections are properly recorded, with tickets scanned and sent to the Environment Agency.
- Process payments to suppliers and manage quotes and pricing.
- Work with the external accountant (Colin, who visits on Tuesdays) for nominal codes and posting.
- Admin & Reception:
- Take orders and maintain client communication.
- Source and order products/materials as needed.
- Handle general office administration (filing, documentation, etc.).
- Answer phone calls and respond to enquiries.
- Maintain records of materials received and dispatched.
- Perform reception duties, greeting clients and managing office visitors.
- Additional Duties:
- Perform risk assessments and maintain health and safety compliance.
- Handle contractors and sub-contractors (e.g., lorry drivers)
- Contribute to a positive office atmosphere, with friendly interactions and team engagement.
- Experience with Sage 50 or similar accounting software is desirable.
- Strong attention to detail and organisational skills.
- Friendly, approachable, and able to engage in lighthearted office banter.
- Ability to work independently and manage multiple priorities.
- Good communication skills, both written and verbal.
- Interest or knowledge of the agricultural industry is a bonus.
- Comfortable working in a fast-paced environment with changing priorities.
- Working Hours: Monday to Thursday, 9:30 AM to 3:00 PM (School hours). Wednesday off, but there is flexibility to swap days if needed.
