- Coordinate the facilities for the firm across four offices
- Arrange for regular maintenance of equipment and internal systems (e.g. heating systems , alarms ,security cameras)
- Keep track of regular and ad-hoc facility expenses
- Assist the HR Manager with managing facilities budgets
- Liaising with contracts and Suppliers
- Ordering office equipment
- Assist with team moves and office relocations
- Manage the stock of office , stationary and kitchen supplies
- Liaising and coordinating with external contractors and suppliers
- Compare costs and benefits when evaluating new suppliers
- Maintain an update contacts list of external suppliers
- Ensure compliance with health and safety regulations and fire safety including weekly alarm testing
- Attend the office out of hours on an ad hoc basis when services cannot be completed during office hours
- Previous facilities coordination experience desirable within a Law firm or professional services environment
- Understanding of safety regulations in offices
- Excellent written and verbal communication skills essential
- Excellent organisation and time management
- High sense of urgency and ability to work to deadlines
- Must be able to remain calm under pressure
- A pro- active ,professional and friendly attitude
- Be comfortable in dealing with staff at all levels
- Hours Monday - Friday 9.00am - 5.00pm
- 25 days annual leave plus Bank Holidays
