
Maintenance Administrator

- Raise and process Purchase Orders (POs), liaising with suppliers on pricing, delivery, and terms.
- Receive and inspect incoming goods – ensuring proper storage and accurate inventory updates.
- Run routine stock checks and maintain orderly, up-to-date inventory records.
- Handle supplier communication, including negotiating terms and scheduling deliveries.
- Assist in maintaining filing systems – both digital and physical.
- Support with data entry, report generation, and updating maintenance records and databases.
- Prepare and submit regular reports (e.g., stock levels, order statuses).
- Other general administrative duties: answering phones, managing emails, arranging meetings, printing, scanning, etc.
- Demonstrate initiative by identifying opportunities to streamline administrative tasks and workflows.
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Office (especially Excel and Word) and confident with digital filing systems.
- Effective communicator – both written and verbal.
- Self-starter with the ability to work independently and as part of a team.
- Quick learner, adaptable, and eager to develop new skills.
- Maintenance knowledge is desirable but not essential; willingness to learn technical lingo a plus.
- High school diploma (or equivalent) required; further qualifications are a bonus.
- Prior experience in an administrative or operations support role preferred, particularly in procurement, inventory, or vendor coordination.
- Familiarity with raising POs or managing stock would be a distinct advantage.
