We are seeking a meticulous Executive Assistant to provide high-level administrative support within the legal industry. This role is based in Edinburgh and is a 12 month fixed term contract.
  • Diary & Travel Management: Coordinate schedules, meetings, travel, and itineraries; prepare materials and logistics in advance.
  • Client & Meeting Support: Liaise with clients, prepare for and follow up on meetings, and manage event arrangements.
  • Email & Communication: Proactively manage inboxes, flag and action important messages, and maintain accurate contact information.
  • Document & File Management: Open new matters, save and organise documents (both digital and physical), maintain court forms knowledge, and update records.
  • Finance & Billing Support: Process expenses, pay invoices, assist with billing, and handle financial documentation accurately.
  • Court & Legal Admin: Draft and manage court documents, support Counsel paper handling, and assist with paralegal tasks.
  • Team Support: Cover lunch rota, support colleagues during absence/holidays, take minutes, and handle ad hoc admin duties.
  • Compliance & Information Security: Follow internal procedures and information security policies to ensure confidentiality and data protection.

  • Should have knowledge and experience of working within a busy Litigation team ideally with some knowledge of court procedure and relevant documentation.
  • This position is demanding so the successful candidate should be used to working under pressure, often with tight deadlines
  • Highly motivated with the ability to use initiative and be proactive is essential
  • Good communication skills and confident in dealing with people at all levels
  • A strong team player with a can do attitude
  • Ability to maintain flexibility regarding office role and workload
  • Organises and prioritises time effectively to achieve deadlines
  • Presents a professional image to clients and other external organisations at all times
  • Seeks out opportunities to provide a more efficient and proactive service to legal colleagues
  • The successful candidate will be required to be flexible regarding working hours as from time to time
