Contract: TemporaryAbout the Role:We are currently seeking an experienced Administrative Support Officer to join the Transitional Services Team within the Belfast Trust. In this key role, you will provide efficient administrative support to include referral processing, appointment booking, eProcurement, and general office duties. As the first point of contact for members of the public, you will handle enquiries courteously and professionally, supporting the smooth delivery of services across multiple sites.Key Responsibilities:
- Undertake a wide range of administrative duties including appointment scheduling, waiting list management, diary maintenance, filing, and mail handling.
- Process referrals for multi-disciplinary teams on Trust systems and local databases.
- Make urgent home visit appointments in coordination with managers or team leads.
- Maintain accurate patient records and demographic details (both written and electronic).
- Order stock, stationery, medical equipment, and supplies via eProcurement systems.
- Assist in the production and collation of statistical reports and data returns.
- Handle telephone enquiries courteously, ensuring patients are offered appropriate appointments.
- Support policy and procedure development within the service.
- Provide cross-cover within Transitional Services Teams as required.
- Uphold confidentiality and deliver a high standard of administrative support.
- 4 GCSEs including English (Grades A-C) or equivalent, plus 2 years' experience in an administrative/clerical role, OR
- NVQ Level 2 in Administration (plus GCSE English A-C or equivalent) and 1 years' experience in an admin/clerical role, OR
- 3 years' relevant administrative experience.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Excellent communication and interpersonal skills.
- Strong organisational skills with the ability to prioritise workload and meet deadlines.
- Ability to work independently and as part of a multi-disciplinary team.
