- Develop and maintain effective schedules, considering various factors such as staff availability, client needs, and operational efficiency
- Collaborate with different departments to ensure optimal resource allocation and service delivery
- Monitor and adjust schedules in real-time to accommodate last-minute changes or unforeseen circumstances
- Liaise with clients and team members to coordinate appointments, meetings, and service deliveries
- Utilise scheduling software and IT systems to manage and track appointments efficiently
- Analyse scheduling data to identify trends and recommend improvements to enhance operational efficiency
- Ensure compliance with company policies, procedures, and relevant regulations in all scheduling activities
- Prepare and distribute regular reports on scheduling metrics and performance indicators
- Respond promptly to queries and concerns from staff and clients regarding schedules
- Contribute to the development and implementation of scheduling strategies to improve overall organisational effectiveness
- Proven experience in a scheduling role, preferably in home care, healthcare, or logistics sectors
- Proficiency in IT systems, including Microsoft Office and CRM software, with the ability to quickly adapt to new technologies
- Excellent organisational and time management skills, with a keen eye for detail
- Strong analytical and problem-solving abilities, with a logical approach to work
- Outstanding communication skills, both verbal and written, with a professional telephone manner
- Ability to work collaboratively in a team environment while also being capable of independent decision-making
- Demonstrated flexibility and adaptability in managing changing priorities and workloads
- Excellent interpersonal skills with the ability to build rapport with clients and colleagues
