To be the main point of contact for potential clients and venue finding agencies, taking responsibility for venue profile and commission management.Your main duties will include:
1. Event booking diary management, including utilising the event booking system to present financial performance reports regularly
2. In accordance with the agreed SLAs ensure that all customer enquiries are responded to promptly with quotes, brochures and accompanying information. To manage the process of chasing confirmations, full function details, deposits and signed contracts within the confirmed time scales
3. To assist the Sales Associate with marketing initiatives particularly taking responsibility for working with marketing to update the web site content, collating and maintaining content on third party booking sites, benchmarking and external research, liaison with PR, advertising and marketing agencies as required delivering campaigns, and maintenance of marketing data bases, development of email and direct mail campaigns and manage the content on face book and twitter
4. To act as Key Account Manager for those accounts as allocated by the Senior Sales & Commercial Manager. To be responsible for contract management, maintaining regular contact, managing rates and commission payments as required, enquiry handling and event management as and when required
5. Assist with department invoicing as and when necessary
6. Support sales and event managers on site visits and client meeting as and when necessary
7. To participate in regular events team meetings, operations meetings with clients, event service providers and wider university departments, to ensure effective communications and event coordination
8. To work with the events team and internal university teams to ensure that all internal events programming is booked onto KX to establish available commercial event dates.
9. To ensure policies and procedures are adhered to and kept up to date in all areas they are visible, ensuring staff are aware of any updates
10. To work collaboratively, support as required, across the Estates and Property Department and the wider University.
11. To actively follow and promote the University of London policies, including the University's Dignity at Work and Equal Opportunities Policy and actively promote these wherever possible.
12. Awareness and observation of fire and health and safety regulations
13. Any other duties consistent with both the grade and scope of the post.
14. Any other duties reasonably required of the postholder by their reporting manager
