- A full-time, permanent role working Monday to Friday 06:30am to 14:30pm in a supportive and friendly office environment.

- Monitor and manage the iRock Schools inbox, acting as the first point of contact for school communications.
- Contact schools regarding timetable and coach changes, including cover arrangements, occasionally at short notice.
- Support Band Coaches with school related queries and ensure they have the information needed to deliver high quality sessions.
- Work closely with the School Relationships team to support improvement plans and enhance school satisfaction.
- Assist with gathering and recording school feedback, flagging concerns or identifying at-risk schools proactively.
- Help coordinate parent/school communications relating to concerts, service queries, and onboarding processes.
- Update and maintain weekly lesson timetables for partner schools, ensuring clarity and efficiency.
- Identify opportunities for timetable efficiency and expansion, working closely with Education and Operations Managers.
- Manage and update waitlists, keeping accurate records and ensuring timely enrolment of new students.
- Oversee partner venues and support Camp iRock bookings, working with internal teams to coordinate schedules, staffing, and communications.
- Support with start-of-term onboarding communications and operational readiness for new school launches.
- Maintain accurate and up to date information using iRock's internal portal and connected systems.
- Keep records of school and coach changes, including communications and logistical changes, to support reporting and planning.
- Ensure compliance documentation and safeguarding records (e.g. school access requirements, fobs, ID checks) are accurate and up to date.
- Assist with the logging and management of feedback data, flags and administrative follow-up actions.
- Produce reports and summaries as needed to support planning, performance tracking, and continuous improvement.
- Track concert bookings to ensure fulfilment of termly delivery.
- Support the resolution of service issues by liaising between schools, Band Coaches and Operations team.
- Collaborate with Marketing team on campaigns, open days, or new school communication strategies.
- Previous administrative or coordination experience (education or music sector experience desirable).
- Excellent organisational skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills, with confidence to speak with schools and staff professionally.
- A solutions-first attitude with great attention to detail.
- Proficient in Microsoft Office (Excel, Outlook, Word) and comfortable working with online systems and databases.
- A team player who takes ownership, shows initiative, and is ready to help build scalable systems.
- Ability to stay calm under pressure and manage sensitive communication with professionalism.
- A genuine interest in music, education or youth development is desirable.
