- Ensure that service charges are accounted for in accordance with the RICS Code of Practice, ARMA-Q rules, Accounting regulations and other HML best practices. This includes but is not limited to the accurate and timely issue of service charge accounts (within 6 months of the year end and issuance of section 20b notices where applicable. This also includes statutory accounting and taxation affairs.
- To prepare and reconcile the information on PMS, including entering the year end adjustments, reserve fund transfers and checking the expenditure. Ready for the accounts admin team to prepare the year end audit packs.
- Dealing with queries from the property managers, accountants and our clients, ensuring that these are responded to within 3 working days.
- Liaising with the property managers and external auditors via email, over the phone and in person, to obtain approval of the year end service charge accounts within 6 months of the year end date and company accounts within 9 months of the year end date.
- Preparing the year end balancing service charge surplus/deficit calculation. Inputting the year end balancing amount and raising credit notes/manual demands as appropriate.
- To assist in the preparation of Section 20b notices, within the 6 month deadline, including the draft expenditure and providing to the Client Accounting Manager/ Client Accountant for their approval.
- To update the control sheet on a daily basis and ensure that the information is accurate.
- Assisting with any additional adhoc accounting or administrative task if stipulated by the Client Accountant or Client Accounting Manager.
