About the Role:We are looking for a highly motivated and organised Personal Assistant to join our OMG EMEA Head Office in London. This role will provide primary support to the Chief Financial Officer (CFO) of EMEA & APAC, while also assisting the wider EMEA HQ executive team when needed.You will work closely with, and report into, the Executive Assistant to the CEO, gaining exposure to a fast-paced, international environment and the opportunity to support senior stakeholders across the business.This is a varied and exciting role where no two days are the same. We're seeking someone who thrives under pressure, demonstrates exceptional attention to detail, and operates with the highest level of discretion. Flexibility is essential, as the role will usually be based in the London office with occasional UK travel for on-site events. While OMG follows a 3:2 hybrid working model, the role requires adapting to the CFO's schedule, which may involve a 4:1 office presence in some weeks.Calendar Management: Work in partnership with the EA to optimize the CFOs calendar in-line with business priorities. Provide proactive and efficient administrative diary management for the CFOs calendar, ensuring meeting rooms or restaurant reservations are made where necessary, and resolving scheduling conflicts as required.Travel Coordination: Organize all travel arrangements for the CFO, ranging from travel around London and surrounding areas, to international flights and accommodation as required. Prepare detailed travel itineraries. Support the wider business in arranging occasional business travel and accommodation for OMG employees who do not have dedicated PA support.Commercial Administration: Management of the corporate expenses on behalf of the CFO - workingwith the finance team on company payments.Communication: Assist with meeting and greeting the CFO's visitors in a professional and welcoming way. Communicate effectively with multiple level stakeholders, internal and external.Event Management: The ability to coordinate and plan events & conferences - including venue sourcing and working closely with the Group CFO for budget sign off (department meetings, team social events, summits and conferences).Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.Document Preparation: General administrative support including printing, document preparation.Ad-Hoc: Support of daily operations, which may include but are not limited to; office management, moves/refurbs, IT support with all department IT issues, escalating where necessary.About the Agency:Omnicom Media Group Europe (OMG EMEA) is the media division of Omnicom Group Inc., headquartered in London.We deliver transformational experiences for consumers, clients, and talent.
