We’re expanding into new clinical specialties and international markets, providing significant growth opportunities.We are seeking a detail-oriented and organised On-site Administrator to support Medinet’s clinical services at NCA Salford on weekends between 8am - 6pm. This role is a fixed-term contract (1 month, with potential extension), requiring strong administrative skills, excellent communication, and the ability to work effectively in a fast-paced clinical environment. You will play a vital role in ensuring smooth operational delivery for clinics and theatres, supporting patients, clinicians, and administrative colleagues.Key Responsibilities
  • Preparing clinics in advance, ensuring all documentation and processes are ready.
  • Booking patient transport through the online portal (supporting with process development as required).
  • Carrying out photocopying and general administrative duties.
  • Preparing theatre notes, including consent forms, WHO checklist, theatre outcomes (Medinet & Trust), histology forms, theatre cards, and patient feedback forms.
  • Managing On-the-Day Surgical Consultations (OSC) booking process:
  • Receiving OSC slips from clinic/reception and allocating appointment times.
  • Adding patients to the theatre list if they are not prepared for OSC, including arranging transport and interpreter services if required.
  • Recording the reason for declined OSC, as requested by the Trust.
  • Processing non-OSC outcomes:
  • Ensuring slips completed by doctors are logged correctly for next steps (Photography, Biologics, other referrals, PIFU, follow-ups at 3–6–9 months, or discharge).
  • Inputting data into the Medinet portal and updating the Trust system accordingly.
Accountabilities
  • Ensuring accurate and timely preparation of clinical documentation.
  • Supporting smooth patient flow through clinics, OSC bookings, and theatre pathways.
  • Maintaining accurate records in both Medinet and Trust systems.
  • Delivering high standards of administrative support to clinicians, patients, and the wider team.
  • Escalating issues promptly where processes or patient care may be impacted.
Essential Person Specification
  • Previous experience in an administrative role within healthcare or a related setting.
  • Strong organisational skills with the ability to manage multiple tasks in a busy environment.
  • Excellent attention to detail and accuracy in documentation.
  • Confident in using IT systems, databases, and portals.
  • Strong interpersonal and communication skills, with the ability to work effectively with clinical and non-clinical colleagues.
  • Flexible and adaptable approach, able to support ad-hoc duties as required.
Desirable Person Specification
  • Experience working within NHS Trusts or healthcare providers.
  • Knowledge of patient booking systems and clinical documentation processes.
  • Familiarity with theatre and outpatient workflows.
  • Ability to quickly adapt to new systems and processes where standard pathways may not yet be established.
