Returning client seeking a discreet and efficient Personal Assistant for a Maternity cover post.Job SummaryThis role is to cover the Executive Assistant's maternity leave. The client is looking for an experienced PA with proven corporate experience who is also able to manage a private household. The principal works overseas and communication with him will primarily be on Teams. However, the family remain at the household in Tunbridge Wells and the candidate will also be liaising and assisting with the principal's family working out of the home office. Although the main location is in Tunbridge Wells, the candidate may be required to attend meetings at the business officesThe current EA is already working on extensive handover notes ensuring you are given every opportunity to hit the ground running.Job specification:Private Household:
  • Staff management - the household has 5 members of staff to liaise with and manage
  • Collating household bills, cross checking and sending them to the principal for payment
  • The household in Tunbridge Wells is undergoing renovations, and the candidate will need to work alongside the architect and builder to manage the contractors with the works internally and externally. Communicating with the Principal's family and household staff to ensure works cause minimal disruption and can continue efficiently.
  • The candidate will be a key point of contact for any household queries, issues and emergencies.
  • Liaising with regular maintenance contractors to ensure workload is communicated from the principal's family to ensure jobs are completed to a satisfactory standard
  • Collating staff household credit card receipts and ensuring expenditure is in line with what is expected
  • Keeping the household diary up to date with contractor visits and family appointments
  • Liaising with the family chauffeur and an external chauffeur to ensure the family's travel needs are met
  • Arranging family appointments that will include but not limited to: clubs for the children, medical appointments, vet appointments and boarding requirements for the two dogs, car servicing and MOT bookings
  • Processing the household staff overtime and payroll using an online portal
  • Managing staff absence and annual leave
Business:
  • Diary Management
  • Handing correspondence, dealing and scanning post, inbox management
  • Minutes of meetings (from the business offices approximately every 6-8 weeks)
  • Planning and managing conferences, meetings and social events
  • Preparation of presentations on PowerPoint
  • Liaising with the accountant on a quarterly basis to enable the filing of the VAT Return (Bookkeeping and or experience using Xero is an advantage)
  • Filing relevant monthly returns: Employer Returns and CIS Return
  • Being a point of contact within the business, intercepting queries where appropriate to assist the principal with workload
  • Project research
  • Being able to communicate effectively with all stakeholders internally and externally within the business
  • Working as a team with other members of the business when needed
  • Processing company payroll
Candidate specification
  • The ideal candidate for this role will have proven experience within a private PA role and has coordinated domestic staff while being confident assisting within the client's business.
  • Driver with own vehicle is required
  • Be a good team player who is happy to get involved and assist with tasks outside of the job description to ensure the principal's and family's needs are met
  • An effective communicator who has the ability to communicate with all levels of the business along with construction contractors and the family
  • Highly organised with the ability to multitask
  • Strong interpersonal skills, being a kind thoughtful person is important because this role is linked strongly with the principal's family including children
  • Strong Microsoft office skills (confident with Excel)
  • Bookkeeping skills is a distinct advantage as is previous experience using Xero
  • Confident in operating in a high pressure fast paced environment under their own initiative
  • Self-disciplined and reliable
  • Animal friendly (dogs)
