As part of a dynamic administration department — led by the EA/Administrative Operations Manager and comprising three other talented administrators — you’ll play a pivotal role in ensuring our operations run smoothly and our people feel supported and empowered.This is more than just an admin role. You will become a trusted partner across the business, helping coordinate key meetings and events, supporting inductions for new starters, and contributing to strategic projects and initiatives.Key Responsibilities
- Provide high-level administrative support to the EA, including preparing presentations, spreadsheets, documents, and meeting packs
- Collate, prepare, scan, organise, and store information
- Organise and schedule meetings, follow up on actions with SLT members, and ensure timely completion of tasks
- Organise travel arrangements and appointments for Directors as needed
- Support onboarding and induction activities for new starters, ensuring a welcoming and professional experience
- Draft, circulate, and accurately record minutes from meetings
- Act as a point of contact for internal teams and external stakeholders, ensuring smooth communication and professionalism at all times
- Support internal events, training sessions, and company-wide activities
- Track budgets, raise invoices and POs, liaise with suppliers, and assist with basic financial tasks
- Support cross-departmental projects as required
- Maintain confidentiality and discretion in handling sensitive information and executive-level communication
- Proven background as an Office Administrator/Coordinator, Team Assistant, or Executive Assistant
- Experience in a fast-paced environment supporting senior leaders
- Strong organisational and planning skills; able to manage multiple priorities with accuracy and efficiency
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills with a professional and approachable manner
- Confident in preparing reports, presentations, and professional documents
- Financial administration experience (e.g., invoicing, budgeting) is advantageous
- Event coordination experience desirable
- Familiarity with modern office and collaborative tools is an advantage:
- SAP for administrative and financial processes
- Canva for designing visually appealing presentations and materials
- Miro or Microsoft Planner for collaborative planning and brainstorming sessions
