- Deal with a range of enquires from internal and external customers in a professional manner, establishing their requirements and adapting the standard responses accordingly.
- Provide administrative and operational support in the organisation and delivery of events and programmes that are delivered both on and off campus.
- Collaborate with others in order to make recommendations for developments of established processes and procedures.
- Establish working relationships with key contacts to help improve service levels.
- Contribute to the success of the Widening Participation Team and wider Communications and Marketing department, through taking part in events including Summer Schools, Open Days, evening events and Clearing.
- Represent the University at on-campus events such as taster days, workshops, open days and summer schools.
- Undertake administrative tasks for the team, such as dealing with deliveries, liaising with the portering team, booking rooms and ordering catering.
- Support the organisation and delivery of events across the Widening Participation Team.
- Ensure that an understanding of the importance of confidentiality is applied when undertaking all duties.
- Abide by University policies on Health and Safety and Equality and Diversity.
- Perform other duties occasionally which are not included above, but which will be consistent with the role.
- Flexible working is essential for this role, as there are often events taking place during evenings and weekends which the post holder will be required to support. Overnight stays are sometimes required as part of this role when supporting residential summer schools.
There are regular occasions when the team are required to be on campus (e.g. to support event delivery, to attend meetings or training) so a flexible approach is required on the part of the post-holder.The role will include evening, weekend and overnight working (for residential Summer Schools). It should be noted that it will not ordinarily be possible to take annual leave during Summer Schools (in late June / early July), on undergraduate and postgraduate open days and during Clearing week in mid-August.About the Department
The Communications and Marketing Department is responsible for the University's reputation and branding as well as UK/International student recruitment operations. It covers six areas: communications and public affairs, marketing, UK student recruitment and outreach, digital communications, international and admissions.Communications plays an important part in building and maintaining the reputation of the University through effective communication to the public and to external and internal stakeholders. It communicates the achievements and aspirations of the University through a variety of media and includes a film unit. The team represents the University on a corporate level. Public affairs lead on stakeholder relationships locally, nationally and internationally.
Digital Communications is responsible for the design, development and content of the external website and the intranet.Marketing is responsible for developing a strong brand identity for the University at the corporate level, with an emphasis on better visual branding and market research.
UK Student recruitment and Outreach plays an important role in attracting the University's undergraduate and postgraduate students from throughout the UK; in addition to managing the University's widening participation activities.The International Office drives the University's international recruitment strategy and advises on all areas related to international recruitment and development.Admissions are responsible for managing thousands of applications each year from both UK and international students, as well as leading on the development and implementation of our admissions policies.Career PathwayAdministrative SupportPerson SpecificationEssential CriteriaQualifications and Education
1. NVQ 2/GCSE level A-C or equivalent.Knowledge, Skills and Experience
2. Significant experience of working in an administrative or office environment using common office IT packages (e.g. MS Office, Excel).
3. Proven organisation skills and a high level of attention to detail.
