A great opportunity to work for with an amazing team, our client a Student Accommodation provider are currently looking for Receptionists - Part time 21 hrs for sites based in South East London - Camberwell SE5Job purpose of the Receptionist:The appointee will assist and support the Residence Manager and the Halls Management Team in the delivery of customer services in the Facilities Managed Halls of Residence. The role holder will be required to travel between the designated halls of residence, other University sites & other the halls of residence throughout London when necessary. They Residence Receptionist will be expected to work flexible shifts and to work weekends (Saturday & Sunday + one other day in the week), subject to the business needs such as the departures and arrivals processes.This is an exciting opportunity for someone wishing to deliver excellent customer services to enhance the student experience and to maintain the high-quality standard of accommodation on offer in the University's Facilities Managed Halls of Residence.Key responsibilities and duties of the Receptionist:
  • Undertake duties such as minute taking, diary management, organise meetings or events, as directed and required by the Residence Manager or the Deputy Residence Manager.
  • Provide a first class reception service including but not limited to responding to face to face inquiries from building users, providing a meet and greet service for contractors, couriers and delivery drivers, visitors and guests, issuing permits to work, keys, checking-in and departing as appropriate.
  • The role holder will also coordinate the post management system in place at the time, answer telephone queries, manage their own and generic in boxes responding to mail queries displaying and maintaining professional etiquette in person and in writing, forwarding or escalating when required
  • Perform a range of administrative tasks at halls as directed by the Residence Manager or the Deputy Residence Manager in order to facilitate the delivery of services focusing on the needs and demands of customers to provide a service level consistent with student expectations, contracts, regulation and the University's policies not limited to termly room inspections, regular kitchen inspections, participation in fire drills and the departures & arrivals programmes.
  • Support the financial processes at the hall placing orders, processing invoices, closing purchase orders, monitoring arrears and delivering student debt letters etc., as directed by the Residence Manager or the Deputy Residence Manager.
  • As directed by the Residence Manager or Deputy Residence Manager handle all Residents communications such as group mails, production of simple posters, electronic newsletters and so on.
  • Provide information on accommodation at the hall and signpost residents as appropriate to other services and departments within the University and provide administrative assistance to the Residence Manager or Deputy Residence Manager with the pastoral, welfare and disciplinary care of the residents when necessary.
  • Provide support to the Residential Operations Administrator in the performance of their duties which could include the periodic reporting on statutory compliance, health & safety, maintenance and so on.
  • Exporting data from the Housing Management System (Kinetics) to gather and assist in the delivery or completion of services, for example maintenance requests.
  • Co-ordinate business activity with colleagues from other teams within Accommodation Services and assist with the completion of their objectives according to their deadlines. For example, assist in the administrative support of the Social Programme's student staff and in their early occupation of halls when required.
