Job Category: All JobsJob Description:Due to a planned retirement, we have an exciting opportunity for a Receptionist to join our Cheltenham office. We are ideally looking for the ideal candidate to start on the 1st or 8th December 2025. This is a full-time, permanent position however we may consider part-time also (4/4.5 days, up to 2 afternoons off a week).Our Workplace Services hub area provides professional operational services across all workplace and facilities management including; property and asset management, building maintenance, environmental management, front of house services and corporate social responsibilities. Delivery of our services ensures considered design and management of a compliant, comfortable, and harmonious environment, to create an optimal workplace experience and promote employee wellbeing.The role of Receptionist is to provide the highest level of customer service presenting an approachable and efficient image of the firm when welcoming external and internal visitors to our offices. The Receptionist will also provide positive visitor hosting experiences, meeting management, reception duties and administration support for the office.A snapshot of your day:
  • Acting as the face and first point of contact as the front of house reception at our Cheltenham office
  • Warm and professional welcome and hosting of clients, suppliers, and employees in a competent, and supportive manner, maintaining excellent verbal, physical and written communications.
  • Booking, setting up and management of meeting rooms to a consistent and high standard, and regular checking and maintaining of meeting room guides.
  • Organising catering and refreshments for internal and external meetings and events and assisting with setting up catering, refreshments, and meeting room arrangements, as required. Audit of catering firms regularly and establish new caterers if required.
  • Liaison with other internal clients and peer teams to ensure all visitor needs are met, and with other internal teams escalating to Lead Receptionist or Office and Facilities Supervisor with complex requirements.
  • Claiming and processing Front of House service requests from our Helpdesk system
  • Maintaining a comprehensive record of all visitors in the security log, issuing security passes, and conducting regular audits of passes.
  • Organising courier and taxi bookings.
  • Monitoring and ordering of supplies and associated finance requisitions, including but not limited to
office groceries, café and janitorial supplies. * Perform daily office checklist tasks and adhering to processes outlined in the Front of House manual.
  • Support Lead Receptionist and/or Office and Facilities Supervisor with office and facilities routine tasks as needed and instructed.
We would love to hear from if you have:
  • Previous reception, office administration, hospitality and/or customer service experience (customer service skills)
  • Excellent communication skills using different methods (written and verbal).
  • Basic to Intermediate MS Office 365 skills/experience - Word, Excel (updating/data entry for tracking), Outlook (calendar management/booking meeting rooms), SharePoint
  • Ability to demonstrate successful working relationships within a team and independent working.
  • Ability to be responsive to changing needs.
  • Ability to remain calm under pressure and a professional and polite manner (courteous to all clients and staff)
  • Previous experience in a professional services or financial services industry would be preferable but not essential
  • Experience of using database systems and customer service ticket requests systems would be preferable but not essential
  • Telephone experience such as soft phone and internal messaging systems (e.g. MS Teams) would be preferable but not essential
  • A willingness to travel occasionally if cover for other offices is required (expenses covered)
