Contract Type: Fixed Term Contract (6 months)Purpose of the Role:As our Executive Assistant, you will provide personalised and timely secretarial and administrative assistance to our executive members, managing directors, and wider teams. Your contributions will be key in enhancing the overall efficiency of the organisation.Key Accountabilities:
- Diary Management: Coordinate schedules, set up meetings, and share relevant documents for effective prioritisation and preparation.
- Communication Management: Handle emails and phone calls with precision, ensuring timely and accurate information flow.
- Document organisation: Maintain organised and confidential filing systems across Microsoft platforms.
- Briefing Coordination: organise and provide briefing materials to support timely delivery on projects.
- Logistical Support: Assist with meeting logistics, including visitor greetings and IT setup, ensuring smooth proceedings.
- Travel Arrangements: Plan travel to ensure timely arrivals for meetings and engagements.
- Minute Taking: Record accurate minutes for team and Board meetings for consistent documentation.
- General Administration: Support with expense claims, document formatting, and IT troubleshooting.
- Induction Coordination: Assist HR in onboarding new starters, creating a welcoming experience.
- Project Support: Help coordinate actions and assist with ad hoc project activities, ensuring high-quality delivery.
- Policy Adherence: Support in delivering against company policies and recommend process improvements where necessary.
- Team Collaboration: Assist other Executive Assistants and C-Suite colleagues to ensure continuous operational efficiency.
- Significant experience as an Executive Assistant or in a similar role, ideally working with C-Suite executives.
- Proficiency in MS Office Suite, including Outlook, Word, and Excel.
- Exceptional written and verbal communication skills.
- Strong organisational and time-management abilities, with keen attention to detail.
- Excellent judgement and decision-making capabilities.
- Flexibility and collaboration skills to support the wider Business Support team.
- Experience in professional services is essential; financial services experience is a plus, and banking experience is highly desirable.
- Proven ability to manage multiple diaries and adapt to changing priorities.
- Willingness to be flexible with office hours to support team needs.

- Core hours: 10 am - 4 pm, with a full-time commitment of 35 hours per week.
- Hybrid working is supported, with a minimum expectation of 3 days per week in our Leeds office.
