- To take repair calls and requests from St Basils colleagues and customers and to carry out an initial diagnosis as to repair requirements
- To raise work instructions/orders for all day to day and void works to be carried out by in-house operatives or (where specialist or at peaks of workload) by external partner contractors
- To monitor all live works orders, to chase any outstanding work and to keep the housing repairs electronic records consistently up to date
- To plan and schedule work for internal operatives and to make appointments, where necessary
- To manage the completion of all orders, updating the system on a daily basis
- To raise tenancy satisfaction requests electronically and to review and report upon results
- To review all submitted invoices against the original order value and to seek such authorisations as are necessary for any variations
- To process all invoices for payment and to update the sharing system when payment is made.
- To provide regular reports and management information for the manager and other colleagues as required
- To provide an administration service across the Property Services Team, to include typing, diary management, filing, systems management etc
- To provide cover for colleagues within the Property Service Team and elsewhere within St Basils when necessary
- To take and record customer complaints and to ensure that these are properly recorded and reported.
- GCSE English and Maths – C Grade and above or equivalent
- High Level of IT Skills, proficient in Microsoft Office
- Experience of working in a busy office environment
- Up to date experience of Microsoft Office Applications
- Experience of housing software and repairs applications
- Work within property services/construction environment
- Experience working within the same industry (Housing)
- Knowledge and experience gained from a property maintenance or technical environment
- Knowledge of setting up and monitoring administrative systems for higher volume activities
- Knowledge of how property repairs are reported and analysed
- Knowledge of building trades and other order raising and management
