- Administering QA Checks across all submissions to the Project Information Model Common Data Environment, Viewpoint for Projects.
- Coordinate all activities in line with the Document Management Plan.
- Production of reports highlighting items requiring action, or are now overdue, and issuing to the action owners.
- Management and issue of Information Transmittals in line with prescribed project distribution.
- Updating of Task Information Delivery Plans for the Project Team and assisting the Senior Information Manager with collection and collation.
- Security minded approach to processing and handling all information and correspondence, in line with established requirements for each classification and level of sensitivity.
- Providing guidance on document requirements in line with the Document Management Plan
- Providing support to all end users of Viewpoint for Projects, mainly troubleshooting issues or providing guidance
- Act as the main point of contact for ongoing support and coaching relating to Document Control activities, including third parties such as client teams, designers, and subcontractors
- Maintain documents and drawings within the Project Site Offices under safe custody without any damage or deterioration, with easy traceability.
- Effectively control and store information within the internal SharePoint site to allow for easy retrieval through searchable metadata and tags.
- Assist the Senior Information Manager with the archiving of information in line with the Data Retention and Archiving strategy.
- Maintaining regular communication and good rapport with the Client’s Document Control team and proactively resolving any issues or queries that arise.
- Due to the responsibilities, the role would be based on site for a minimum 4 days with 1 day available to work from home.
- Experience working with OFFICIAL and OFFICIAL-SENSITIVE information, and associated handling requirements.
- Diverse and clear communication skills with experience of effective communication with multidisciplinary design teams, client teams, subcontractors, and the wider supply chain.
- Experience of working on projects with large volumes of data and information from various sources.
- Ability to handle a variety of situations at one given time, and to do so efficiently.
- Competent user of Viewpoint for Projects, or strong experience within another Electronic Document Management System (i.e. Asite).
- Awareness of ISO19650 and preferably a working knowledge of how it is adhered to across the lifecycle of a project.
