Job description and person specificationSheffield Citizens Advice and Law Centre provides a range of advice and advocacy services through digital means, by telephone and in person. We seek to empower our clients and support them to improve their confidence and capability on a wide range of issues. We campaign for change to social policy to improve the well-being of the people and communities we support.Our advice services provide help and advice across a wide range of issues and more in depth help in respect of welfare benefits, debt, housing, employment, immigration and discrimination. Our independent advocacy services are delivered through Sheffield Advocacy Hub, in partnership with three organisations.We aim for excellence. Our ambition is to be among the best advice and advocacy services in the country, and one of the leading voluntary and community organisations in Sheffield.Purpose of jobYour role is to support the smooth, efficient and effective running of our operations, by managing our administration function and our team of administrators.You will manage staff and liaise with colleagues to ensure efficient and effective allocation of tasks and duties in line with agreed timescales, accuracy and quality standards.You will be part of our support services management team, including three other Team Managers. You will work closely with your colleagues to ensure that all support service functions are delivered, including providing cover where required.Our support service Team Managers are responsible for planning, supervising and providing generalist and specialist administration and support for the whole organisation and for all our services to clients, including Advice services (eg welfare benefits, debt, housing, employment, immigration, discrimination and other areas of public and social welfare law), and Advocacy services (working across adult social care, NHS services and in Sheffield communities).Team Managers are required to undertake all their duties in accordance with Citizens Advice Sheffield policies and procedures, utilising national and local sources of information and guidance.As our Administrators spend the bulk of their working hours in our office, we will expect the postholder to work from the office for at least 80% of the hours, across a minimum of three days per week.Responsible to:Head of Resources and Organisational DevelopmentResponsible for:AdministratorsSpecialist Administrators (if relevant)VolunteersMain duties and responsibilitiesPlanning and supervising support and administration for advice and advocacy service delivery, including support for digital, telephone and in-person servicesPlanning and implementing the deployment of administrators and volunteers for this purposeManaging and developing the team of administrators, supporting them to work as a team to meet the support and administrative needs of the services particularly through the effective use of innovative ICT and digital solutionsManaging and developing Specialist Administrators where appropriateManaging risks to meet health and safety, information assurance and other compliance requirementsParticipating alongside colleagues in the induction and training of staff and volunteers in the areas relevant to this postPlanning and implementing service support systems and processes, including for reception, record keeping, reports, casework and other aspects of advice and advocacy service deliveryMonitoring and reporting on service outputs and outcomes.Managing contractors, including where appropriate service level agreements and key performance indicatorsWorking as part of our team of Service Support Team Managers, who cover Finance, Human Resources and ICT alongside this post.LocationSheffieldSalary£32,945 pa (pro rata, subject to pay award)Type of ContractPart TimeHours17-21hr tbcBenefitsWe can offer you a supportive culture within a charity setting committed to social justice.
