- Establish and deliver programme administration & coordination
- Undertake meeting management & secretariat support
- Work with a range of internal stakeholders to establish appropriate Governance & develop Portfolio, Programme and Project development frameworks
- Maintain documentation, risk & issue management
- Own the reporting & performance monitoring aspects of the programmes
- Manager stakeholder engagement & collaboration
- Ensure a culture and process of continuous improvement & community contribution is established through your work
- Programme Administration & Coordination
- Maintain and update the programme forward plan.
- Book and manage meeting rooms for weekly team meetings, Project Boards and Programme Boards.
- Set up AI-assisted minute-taking for board meetings.
- Liaise with stakeholders to pull together board papers in good time.
- Maintain SharePoint sites for all boards.
- Meeting Management & Secretariat Support
- Prepare agendas, action logs and decision logs for Project and Programme Boards.
- Chair the weekly team meeting, including:
- Forward look and priority setting
- Review of the Programme Board forward plan
- Review of the Programme Board action/decision log
- Sit on the Project Board to ensure timely escalation of risks, issues and decisions.
- Governance & Framework Development
- Design and implement the BSIP programme governance review, covering:
- Organisational structure chart (including Strategic Sponsoring Group)
- Risk and issue management procedures
- Decision-making and engagement procedures
- Terms of Reference for each board
- KPI and benefits mapping with a regular review cycle
- Business case and lessons-learned review cycles
- Consolidation of all procedures into a single programme management manual
- Ongoing maintenance and incorporation of review cycles into forward plans
- Documentation, Risk & Issue Management
- Maintain programme-level documentation, including:
- Risk register
- Issue log
- Programme dashboard
- Update the capital tracker after each Infrastructure Project Board.
- Prepare and present the programme dashboard at each Programme Board.
- Support individual projects in developing and maintaining robust project documentation.
- Reporting & Performance Monitoring
- Complete design and delivery of quarterly DfT progress reports.
- Liaise with Finance and M&E teams to gather data for governance and reporting.
- Stakeholder Engagement & Collaboration
- Coordinate governance and delivery across communications, M&E, finance, wider transport programmes and regional partners.
- Map and manage stakeholders via a stakeholder matrix.
- Represent the programme at regional fora, for example:
- Bus Delivery Working Group
- EP Working Group
- EP Advisory Panel
- Continuous Improvement & Community Contribution
- Hold regular catch-up meetings with project teams to review progress against milestones, risks and issues.
- Capture lessons learned and integrate improvements into programme processes.
- Contribute to the council's Project Management Community of Practice.
- 2-3 days in the office
- Works both from home and the office, depending on the task at hand.
