
Executive Assistant to Chief Commercial Officer - 12-month Maternity Cover

- Accountable for diary and inbox management, ensuring that the Chief Commercial Officers time is managed effectively by understanding daily and weekly priorities and making judgement calls on prioritisation of their appointments to maximise the reach and impact: taking a strategic approach to the use of available meeting hours, managing multiple time zones, and recommending efficiencies in meeting regularity and attendance.
- Prioritise and plan diaries/mailboxes, taking a forward-thinking approach to ensure all pre-read and meeting agenda is received in appropriate time, minutes are circulated, actions are followed up and incoming requests are prioritised.
- Ensure the production of timely briefings, presentations, and notes to the leadership team from meetings (as appropriate).
- Accurate and comprehensive minute taking of global meetings and executive level forums
- Organise frequent and complex international travel itineraries, including flights, accommodation, visas, local transport and external stakeholder meetings, ensuring a geographically efficient agenda within policy & budget.
- Undertake any other duties or projects within the nature and grade of this position as required, including occasional out of hours working and assisting with external commitments when required.
- Oversee onboarding of new hires, ensuring they are fully integrated into the business and set up for success.
- Preparing agendas and decks in short time frames for executive level audience
- Timely management of expenses, department purchasing and budgets
- Ensuring there is an effective working relationship between the Executive Assistant and the Chief Commercial Officer whilst managing incoming requests from regional direct reports across the globe
- Fulfil an intermediary role between Chief Commercial Officer and their senior leadership, facilitating communication, collaboration and ensuring smooth operations.
- Liaise effectively & professionally with the Executive Team, regional, cross functional and global teams.
- Excellent people skills and the proven acumen to handle both delicate and complex situations whilst juggling multiple responsibilities.
- Excellent written and oral communication skills
- Demonstrated ability to work in a fast-paced environment and proven ability to manage senior stakeholders.
- Demonstrated experience of dealing with highly confidential information
- Ability to balance long term projects with the urgency of immediate demands.
- Excellent workload prioritisation
- Strong presentation skills and the ability to convey complex messages succinctly and convincingly.
