- Schedule and coordinate vehicle services, maintenance, repairs, and MOTs
- Report fleet accidents to insurers promptly
- Maintain and update the Fleet X system
- Arrange short-term and long-term vehicle hire bookings
- Manage vehicle check-ins and check-outs at the Washington site
- Oversee on-site vehicle management
- Drive company vans and cars as required
- Process invoices and input data into Fleet X
- Handle fines and violations related to company vehicles
- Reconcile invoices with completed work and liaise with finance regarding discrepancies
- Communicate professionally with engineers, management, and external contacts
- Manage correspondence efficiently
- Collaborate with management on daily department operations
- Assist with the implementation of effective departmental processes
- Meet quality and performance targets
- Perform other duties necessary for smooth departmental operations
- Adhere to health and safety protocols and wear PPE when required
- Previous administrative experience (fleet experience preferred but not essential)
- Full, clean driving license with confidence in driving company vans and cars
- Strong problem-solving skills, especially under pressure
- Proficient with MS Office applications
- Exceptional organizational skills
- Flexible and able to prioritize a dynamic workload
- Trustworthy and dependable
- Self-motivated with the ability to work independently
- Excellent verbal and written communication skills, able to engage with diverse audiences
