  • Supporting the EMEA Chief Auditor in managing the day to day operations of the Internal Audit function.
  • EMEA Chief Auditor's calendar management and arrange travel, meetings and conference calls.
  • Working sensitively to ensure meetings prioritises EMEA Chief Auditor's objectives, including work/life balance and enhance EMEA Chief Auditor's overall time management.
  • Maintaining email distribution lists for the EMEA Audit team
  • Ensuring the EMEA Chief Auditor is fully prepared for meetings and conference calls including ensuring papers are printed and ordered in a timely fashion
  • Working with the EMEA Chief Auditor to submit and document expenses in a timely fashion.
  • Booking worldwide travel for the EMEA Chief Auditor, talking to other offices to prepare for business travel/meetings. Coordinating schedules for visitors
  • Organising team meetings and events, including: regular meetings with EMEA Chief Auditor's directs, 1:1 with Directors, Skip level meetings, organising and preparing materials and logistics for Townhalls, assist with organising trainings, team offsites and the Audit Academy.
  • Assisting the EMEA Chief Auditor in managing key stakeholder engagement including arranging 1:1s as directed
  • Monitoring EMEA Chief Auditor's inbox on an on-going basis to assist in prioritising
  • Working in partnership with Facilities to manage the office space and desk layout
  • Working with the Business Manager to ensure preparatory meetings are in place ahead of various committees, ExCo/ Board and to schedule committees.
  • Providing overall day-to-day administrative support for the wider leadership team as and when required and when capacity permits to ensure the effective running of the office.
  • Responsibility as the Business Continuity Coordinator, partnering with Operational Resilience as required
  • Partnering with Business Management team as required
  • Covering in the absence of the Executive Assistants (EA’s) for other executives.
Technical CapabilityYou are responsible for:
  • Excellent communication and interpersonal skills
  • Proven track record of building and maintaining internal relationships
  • Experience working across different time zones.
  • Maintaining a proactive, motivated, results driven mindset, with a strong sense of accountability over your area of ownership and the ability to operate with urgency and prioritise work accordingly.
  • Delivering strong problem solving and decision making skills; a structured, logical, creative and innovative approach to work; and the ability to demonstrate sound judgement.
  • Managing large workloads to tight deadlines; maintaining excellent attention to detail and accuracy; delivered through a calm approach, with the ability to perform well in a pressurised environment.
  • Ability to appropriately handle highly sensitive and confidential information
  • Excellent Microsoft Office and numeric skills
Relationship with other functions and stakeholders
  • Maintain and enhance good working relationships with stakeholders, across the region and globally to share best practices, provide support and develop effective local policies and procedures appropriate to the Company, and working in support of the One MUFG and overall Group strategy.
  • Organise and help with relevant meetings, working groups and relevant committees to promote EIA especially on Strategic Transformation initiatives and achievements.
