This is a varied role requiring excellent organisational skills, strong attention to detail, and the ability to build relationships with both customers and internal teams.Key duties & responsibilities:
  • Manage the preparation, maintenance, and routing of sales orders.
  • Review sales orders and shipment contents prior to acknowledgement, loading, and delivery release.
  • Optimise and streamline the freight shipping process.
  • Coordinate and communicate loading and delivery schedules efficiently.
  • Ensure all stakeholders are kept updated with any changes.
  • Respond promptly to customer enquiries regarding shipping and delivery.
  • Track failed deliveries and investigate to prevent recurrence.
  • Liaise with hauliers to ensure timely collection, loading, and delivery of orders.
  • Confirm stock accuracy and support the Warehouse Manager with weekly, monthly, and cycle counts.
  • Organise and optimise warehouse capacity.
  • Provide sales coordination support, ensuring accurate order processing and customer service.
  • Ensure all orders are correctly recorded, planned, and communicated for delivery.
Skills & experience required:
  • Proven ability to acknowledge and confirm customer orders.
  • Experience recording and processing orders on SAP (essential).
  • Strong attention to detail when capturing order details (customer info, PO numbers, product, quantity, price, delivery date, instructions).
  • Ability to check stock availability and provide accurate delivery dates.
  • Confidence liaising with Sales Managers and Production where stock is unavailable.
  • Experience arranging transport with hauliers and negotiating best pricing/service.
  • Knowledge of creating purchase orders and processing internal documentation.
  • Competence in maintaining and updating freight schedules daily.
  • Ability to track orders and provide proactive customer updates throughout fulfilment.
  • Problem-solving skills to address discrepancies or shortfalls effectively.
  • Experience producing and processing picking slips and delivery notes.
  • Strong collaboration with warehouse and production teams.
  • Excellent communication skills, both written and verbal.
  • Professional approach to managing queries, complaints, and follow-ups.
  • Organisational skills including stock reporting, visitor management, and call handling.
