Job Summary The Legal Secretary will provide efficient and professional secretarial and administrative support to Fee Earners and Directors across multiple departments. The role requires maintaining and developing relevant skills, knowledge, and experience necessary to perform the outlined functions effectively.Key Responsibilities
- Deliver comprehensive secretarial and administrative support to legal professionals.
- Adhere to all internal office procedures and policies in line with relevant quality standards (e.g. SQM/CQS).
- Accurately type various legal documents including correspondence, memoranda, court documents, file notes, proofs of evidence, and questionnaires, from audio dictation or copy.
- Open, maintain, and close case files within the firm’s case management system (CMS), ensuring compliance with procedural requirements.
- Maintain orderly filing systems, ensuring accurate document storage, retrieval, and archiving.
- Provide courteous and professional client service in person and over the phone, ensuring accurate message-taking and timely communication.
- Schedule appointments, arrange meetings, and manage diary entries effectively.
- Assist with switchboard cover and front desk reception on a rotational basis, as required.
- Represent the practice positively in all interactions with clients and third parties.
- Attend training relevant to the area of work to ensure continued competence.
- Participate in departmental meetings and other administrative gatherings as required.
- Promote and adhere to the organisation's Health & Safety policy and contribute to a safe and welcoming office environment.
- Compliance with minimum legal/regulatory knowledge standards applicable to your area of deployment (as required by the Law Society / Solicitors Regulation Authority).
- Typing speed of 60-70 WPM with high accuracy.
- Strong verbal and written communication skills.
- Excellent interpersonal skills and professional conduct.
