- Own and manage the day-to-day scheduling of internal resource across projects, ensuring efficient allocation aligned with business priorities.
- Work closely with team leads across production, content studio, client services and sales & marketing to understand briefs, timelines, and capacity.
- Forecasting workload and resourcing needs, flagging gaps or clashes early.
- Working closely with the Head of Design to plan across studio disciplines.
- Maintain and optimise resource tracking tools and systems, ensuring accuracy and visibility for key stakeholders.
- Lead weekly resource meetings, ensuring clarity and alignment across departments.
- Monitor freelance usage, supporting onboarding and rate negotiations where needed to ensure cost-effective, commercially sound resourcing decisions.
- Anticipate and solve resourcing challenges before they impact delivery, offering creative solutions and alternatives.
- Build strong relationships across teams, creating a culture of open communication and shared accountability.
- Provide reports and insights to inform decision-making and improve long-term planning.
- 3 years’+ experience in resource, traffic or project coordination roles within an events agency.
- Highly organised and methodical, with strong planning and time management skills.
- Confident managing multiple inputs, priorities and deadlines in a fast-paced environment.
- Excellent communication and interpersonal skills — able to build trust with stakeholders at all levels.
- Strong working knowledge of project management/resource planning tools.
- Solutions-oriented with a calm, proactive approach to problem-solving.
- A good understanding of agency operations and the demands of live event & studio delivery.
- Commercially aware, with an eye for balancing efficiency, creativity and cost.
- Proficient in resourcing software.
- Current driving licence
