- Schedule PPMs to Engineers.
- Schedule work orders with engineers
- Scheduling for all responsive repairs; liaising with tenants, client, contractors, and external parties.
- Scheduling work across all stated contracts
- Reacting to emergencies raised by the client and overseeing engineer's attendance.
- Schedule PPMs to specialist Subcontractors.
- Taking ownership of workload daily
- Handling customer complaints or queries via telephone, email, or letter.
- Support other helpdesk functions on other contracts.
- Prioritising work orders in line with the KPI priorities
- Chasing subcontractors' reports/schedules
- Report any issues where suppliers, engineers, subcontractors have failed to respond within the agreed timescales.
- Ensure completed work has all paperwork in the ECM files ready for invoicing.
- Ensuring all paperwork, Subcontractor PO's and Email instructions are in ECM.
- Acts as the routine contact point, receiving and handling requests for support from Engineers, Contractors
- Recording on the Vixen Diary all communications, decisions, issues, delays, costs, and correct status
- Liaise with Site contacts to arrange and book appointments for work to be carried out.
- Assisting with any other duties the contract needs support in with regards to processing work orders from scheduling, completing, through to invoicing and payment.
