Overview: A busy and well-regarded private client department is seeking a Probate Secretary to support fee earners handling estate administration and probate matters. This is a confidential opportunity offering a long-term support role within a stable team. The position is ideally suited to a law graduate seeking experience in a private client setting or an experienced legal secretary with a background in probate.Please note: This is a permanent secretarial role with no scope for legal training contracts or progression to a fee-earning position.Key Responsibilities:
  • Provide dedicated secretarial and administrative support to private client fee earners.
  • Draft correspondence and legal documentation related to probate, wills, and estate matters.
  • Liaise with clients and third parties including HMRC, HMCTS, banks, and other institutions.
  • Prepare and submit probate applications and related documentation.
  • Manage client files, both electronically and physically, in line with regulatory requirements.
  • Handle incoming calls and correspondence professionally and with discretion.
  • Maintain calendars, schedule appointments, and assist with general administrative tasks.
  • Support with billing, timesheets, and file opening/closing procedures.
Person Specification: Essential:
  • Either a law graduate with a genuine interest in private client work or an experienced legal secretary.
  • Familiarity with probate processes and terminology, or a willingness to learn quickly.
  • Excellent attention to detail and organisational skills.
  • Strong communication skills, both written and verbal.
  • Ability to handle confidential and sensitive information with discretion.
  • Proficient in Microsoft Office and able to learn legal case management systems.
Desirable:
  • Previous experience in a private client or probate department.
  • Knowledge of HMCTS and HMRC processes relating to probate and inheritance tax.
  • Understanding of GDPR and anti-money laundering protocols.
