Tasks may include: drafting routine and specialized correspondence, reports and presentations, screening and directing telephone calls, making travel arrangements, scheduling appointments and meetings, reading and routing mail, maintaining files, and database management. A significant portion of time may be spent on project work and utilizing our Microsoft office suite. Work is performed under minimal supervision. May provide functional guidance to lower level staff.You will:
Perform a variety of administrative tasks for a specific person, department, or function. Tasks may vary depending on specific business unit requirements.
Prepare routine and specialized correspondence, memos, and reports. May prepare special periodic reports and compose non-routine responses to correspondence. Maintain department databases and generates reports as required.
Prepare standard and specialized presentations, including formatting and improving presentation layout. Prepare charts and graphs as required.
Handle incoming and outgoing mail, which may include opening, reading, sorting, copying, distributing, and filing as necessary.
Answer, screen, and direct incoming telephone calls ensuring a high level of customer service.
Identify efficiencies and utilizing tools and technology to drive for continuous improvement.
Maintain in-boxes and able to disseminate and prioritize what is important for leaders including challenging where necessary.
Primary point of contact for key stakeholders (external and internal)
Schedule appointments, coordinate meetings and special events, make complex travel arrangements, and prepare expense reports as required.
Coordinate budget development, including coding items and collecting and compiling data.
Assist with miscellaneous tasks, including data entry, ordering office supplies, copying etc.
Expense and invoice management and tracking
May be privy to sensitive material, including establishing and maintaining confidential files.
May be responsible for managing complex departmental projects and conducting research where necessary.
Support colleagues in scope of SMCR and ensure that they remain compliant, working with internal stakeholders as needed e.g. Compliance, HR
Carry out additional duties as assigned.
